1. What Information We Collect

a. Information you provide directly

Depending on how you interact with us, we may collect:

When submitting a quote or contact form:

  • Referral source

When you submit this form, we also record the submission in our analytics tool (PostHog). If you have accepted analytics cookies, this record includes your name, email, business name, and the details you selected, and is linked to your visit on our website. This helps us understand which channels bring enquiries.

When booking a call via our scheduling tool:

  • Business name

  • Website link, if provided

  • Selected plan of interest

  • Description of what you need help with

  • Additional notes or project details

When a booking is confirmed, we record it in our analytics tool. If you have accepted analytics cookies, this record includes your name and email, if provided by the scheduling tool, and is linked to your visit on our website.

When using the Ask the AI assistant on our FAQ page:

  • The questions you type and the answers our AI generates

  • A daily question count, tied to a scrambled one-way code derived from your IP address and cleared every day

  • Your analytics identifier, so a question can be linked to your website session

b. Information collected automatically

When you visit our website, we may collect certain information automatically through analytics and tracking technologies.

This includes:

  • Operating system

  • Referring URLs

  • Pages visited and interactions

  • Session flow and engagement data

  • Approximate geographic location, at country or region level

  • Pseudonymized identifiers used for analytics or advertising attribution

While you browse, this data is pseudonymized and not used to directly identify you. If you have accepted analytics cookies and you book a call or submit a form, the visit during which you did so is linked to the contact details you provided.

c. Cookies and tracking

2. Analytics

We use PostHog, hosted in the EU, as our primary analytics tool. PostHog collects aggregated and pseudonymized usage data to help us understand how visitors interact with our website.

This data is used solely for internal insights and product improvement. Browsing activity is not used to identify individual users. The exception is when you have accepted analytics cookies and you book a call or submit a form: we then link that visit to the contact details you provided, so we can see which pages and channels led to your enquiry. We do not share this data with advertising platforms or use it for automated decision-making.

AI assistant. Questions you ask the AI assistant on our FAQ page are answered by an AI model running on Cloudflare Workers AI. We store each question, its answer, and an automatically assigned topic in PostHog to understand what visitors want to know and to improve our FAQ. Email addresses and phone numbers typed into a question are removed automatically before storage. We do not use your questions to train AI models. Answers are generated automatically and may contain mistakes, so please do not enter sensitive personal information into the assistant.

3. Advertising and Conversion Tracking

We may use advertising and conversion tracking tools to measure campaign performance, optimize marketing spend, and retarget visitors who have interacted with our website.

These tools may include:

  • Meta Pixel (Facebook and Instagram)

  • Reddit Pixel

  • Google Tags for Google Ads

  • LinkedIn Ads Insight Tag

  • X (Twitter) Ads Pixel

These technologies may track actions such as page views, form submissions, and checkout events. All tracking is web-based and pseudonymized.

We do not upload customer lists, email addresses, or other directly identifiable personal data to advertising platforms.

6. Data Storage and Retention

We retain personal data only for as long as necessary:

  • Contact and quote submissions: up to 12 months after last interaction

  • Call scheduling data: up to 6 months after the scheduled date

  • Billing and payment records: up to 5 years, as required by law

  • Analytics and advertising data: retained in aggregated or pseudonymized form for up to 24 months

  • Enquiry records in our analytics tool (call bookings and form submissions linked to a visit): up to 24 months

  • AI assistant questions and answers: up to 24 months in our analytics tool. The daily question counter and cached answers are cleared every day

You may request deletion of your personal data unless retention is legally required.

Some of our service providers may process data outside the EU or EEA.

When this occurs, we rely on appropriate safeguards, such as Standard Contractual Clauses approved by the European Commission, to ensure your data remains protected in line with GDPR requirements.
